Can you automate agreement scheduling without annoying customers?
Yes, and pacing matters more than tooling. We schedule outreach around the seasons rather than the sign-up date, offer a booking link so nobody has to call, and stop the sequence the moment someone books or replies. You review every message before it goes live.
We file warranty claims through a distributor portal. Can that be automated?
The valuable half usually can. Capturing model and serial at install, tracking the registration deadline, assembling the claim package, and following claims to credit all come from your own data. Portal submission depends on whether the distributor exposes an interface.
Can we monitor the systems we install so we know about a failure before the customer does?
In many cases, yes. Newer equipment and connected thermostats typically expose data through a manufacturer or third-party interface, and we can build alerting on top of it: a system that has not cycled during a cold snap, a rising discharge temperature, a filter overdue by runtime. What is possible depends on the brands you install and what their interfaces allow. Where it works, it becomes a reason customers keep the maintenance agreement.
Our install crews and service techs use different tools. Do we have to pick one?
Usually not. Service runs on dispatch and tickets; installs run on equipment orders, permits, load calculations, and a multi-day schedule, and the same platform rarely does both well. We connect them so a changeout sold on a service call becomes an install job without re-entry, and the equipment installed shows up in the service history at that address. The crews keep the tools that fit their work; the office stops copying between them.
